Office Support and Supply Coordinator

Department:   Facility Operations
Reports To:   Facilities Site Manager
Status:   Non-Exempt - Full Time


Under the general guidance and supervision of the Site Manager, order and maintain inventory of all repair parts and office supplies.  Issue parts and supplies as appropriate to Kimmel Center staff.  Provide mail and small package delivery and provide mail related service to all Kimmel Center and associated offices.  Comply with organizational and departmental policies and procedures as well as safety rules.

Essential Duties and Responsibilities:

  • Order office supplies for various departments; reconcile all departmental approvals and billing
  • Sort, deliver and coordinate the inter-office mail of various locations within the Kimmel Center, Inc. campus
  • Ensure that necessary postage is attached to mailings for various departments using the Pitney Bowes System
  • Coordinate FedEx shipments, courier deliveries and occasional Post Office drop-offs as needed
  • Coordinate orders of Letterhead with the Manager of Membership Services
  • Maintain inventory for all office and break room supplies across the campus
  • Serve as point of contact for all Pitney Bowes, Docutrend and Canon equipment including copiers, faxes and associated equipment supplies
  • Manage inventory for all copier paper, toner, and office supplies for organization
  • Ensure mailroom and delivery facilities are clean, safe, secure and in good order
  • Maintain optimum inventory of all maintenance parts and supplies.  Conduct periodic manual and automated physical inventories and prepare reports
  • Issue parts necessary for preventive and corrective maintenance tasks and charge same against work orders
  • Order, receive, inspect and stock parts, materials and supplies in accordance with established purchasing procedures.  Responsible for security of inventory and equipment
  • Meet with and maintain working relationships with various salesmen and supply companies as may be necessary to ensure an adequate inventory at a fair market price.  Maintain purchasing practices to ensure honest, fair and ethical relationships with vendor
  • Investigate and test new products, suppliers and processes to achieve best possible quality, reliability, prices, continuity, and delivery which may enhance repair productivity within maintenance operations.
  • Solicit for price quotes for maintenance purchases.  Participate in developing and coordinate RFPs for purchasing
  • Ensure storage facilities are clean, safe, secure and in good order
  • Reconcile all invoices for maintenance and office supplies ordered
  • Maintain/manage master copy of organization’s Safety Data Sheets.  Provide support to department’s in maintaining their individual SDS record
  • Perform other general work as assigned

Qualifications and Experience Requirements:

  •  High school degree or equivalent
  • Thorough knowledge of supply and inventory procedures as well as mail/package handling, deliveries and mail distribution.  
  • Two or more years of demonstrated work experience in supply chain/inventory management or mail distribution services
  • Knowledge of maintenance and repair parts and procedures preferred
  • Knowledge of mail equipment and contracts a plus
  • Significant and proven prior experience showing the ability to work cooperatively with supervisors and co-workers, to accept and follow general direction, to work independently and to produce quality work in a timely manner
  • Experience in presenting clear and accurate information both orally and in writing
  • Demonstrated interest in staying abreast of field
  • Professional appearance and manner
  • Excellent customer relations skills


Environment, Physical Demands and other Conditions:

  • Work consists of approximately 80% office work and 20% field work throughout multiple campus buildings in all types of spaces and outdoors
  • Interior spaces involve periods of sitting, standing, computer use and material handling
  • Exterior areas involve noise, dust, weather of all types
  • Ability to frequently transit between campus buildings and within multiple levels of these buildings
  • Ability to lift and carry up to 50 lbs. on occasion
  • Ability to stoop, crawl, climb ladders/stairs and stand for extended periods
  • Ability to move safely over uneven surfaces or confined spaces
  • Ability to work in all weather conditions when necessary
  • Ability to properly wear personal protective equipment when necessary
  • Ability to work flexible schedule, which may include weekends, evenings, holidays and overtime when required
