Temporary Auditions Coordinator


Title:               Temporary Auditions Coordinator (part-time, temporary)

Department:   Artistic Production

Reports to:     Director of Orchestra Personnel 



This position will be temporary, for up to a nine (9) month period of time.  This is part -time position, ten (10) hours per week.


The Audition Coordinator provides administrative and operational support to the Director of Orchestra Personnel and Assistant Personnel Manager in all audition related administrative tasks. 


In consultation with the Director of Orchestra Personnel and Assistant Personnel Manager, this position manages and coordinates all audition planning. It is considered a part time position.

The Auditions Coordinator works closely with the Director of Orchestra Personnel, the Assistant Personnel Manager, the Principal Librarian and Library staff, Artistic Production, and the Principal Musician or Chair of the audition committee of the affected section.


Essential Functions:

  • Coordinate auditions: maintain candidate database and files. Process resumes and track applicants. 
  • Help generate candidate audition materials with the Library Staff for rental music.
  • Manage communication with candidates and scheduling of audition times in coordination with the Director of Orchestra Personnel and Assistant Personnel Manager.
  • Work with the Director of Orchestra Personnel and the Assistant Personnel Manager to place ads announcing audition(s) on various websites and other sources as needed. 
  • Work with Director of Orchestra Personnel to reserve internal building spaces.
  • Coordinate travel and hotel arrangements for returning final candidates for trial weeks, as needed.
  • Prepare materials with Library Staff for the day(s) of the audition.
  • Maintain audition statistics and files as directed.
  • Book, hire and prepare the payroll for audition proctors and runners.   
  • Other duties as assigned.  


Bachelor’s degree required with Orchestra administrative audition experience required; or equivalent combination of education and/or training and experience. Knowledge of orchestral repertoire and instrumentation is required. 



  • Personal integrity and strict code of confidentiality and professionalism. 
  • Ability to implement projects from conception to completion with minimal supervision. 
  • Detail oriented and exceptional organizational skills.  Ability to work under stress and handle numerous projects simultaneously in a fast-paced environment. 
  • Excellent clerical skills including Microsoft Office programs experience with proven experience using Excel.   
  • Strong verbal and written communication skills essential. 
  • Familiarity with orchestral repertoire and ability to read music.  An appreciation for symphonic music and the arts. 



This position can be accomplished remotely. The employee will perform the essential functions of the job, including weekend and evening hours, if needed. The Auditions Coordinator, on occasion, might be requested to attend auditions to assist backstage. The hours and days of work may vary widely depending on the time needed to fulfill the responsibilities of the position; this position may require some occasional night and weekend work.
